How to Choose a Background Music Provider for Your Business

The questions to ask if you're choosing a background music provider for your business for the first time.

A lot of retail and hospitality businesses choose background music reactively - someone plugs in a phone, sets up a personal Spotify account, or brings in a system in a hurry when the doors open - rather than deciding against a well thought out, strategic criteria.

Do you actually need a licence? (Yes - even for Spotify).

This is the one most businesses get wrong first. A personal or Premium Spotify account is licensed for private, non-commercial listening. Playing it in a shop, restaurant, gym, or any space customers or staff can hear is a separate matter entirely, regardless of what you're already paying Spotify. In the UK, playing recorded music anywhere the public can hear it requires two separate licences: PRS for Music, which covers the songwriters and composers, and PPL, which covers the performers and record labels. Background music providers can't sort your licences for you, but it will be part of the conversation, and they can guide you along the way if needed. How many sites do you have - and how many will you have in a year?

If you're a single site today, centralised control can feel like a "nice to have.", but it stops being optional the moment you open a second location. Ask any provider you're considering: can one person manage what plays across every site from a single dashboard, or does each location need its own separate setup? Can you schedule different music for different times of day, or run a specific playlist at one site without touching the others? The honest answer to this matters more against where the business is heading than against the one site you have today - a setup that works fine for one location can become an operational headache at five.

Curated programming, or an algorithm?

There's a real difference between background music curated with commercial retail or hospitality spaces in mind, and a generic playlist assembled by an algorithm built for personal listening habits. Ask what's actually building the playlists - a person with a curation background who understands pacing and mood for a physical space, or purely automated recommendations. Also ask how easily it flexes: for a seasonal campaign, a one-off event, or simply because the current playlist isn't landing with your customers. A system you can't adjust without submitting a request and waiting a week isn't really flexible, whatever the sales pitch says.

Does it talk to anything else in your venue?

If you're also running digital signage, in-store announcements, or any other on-premise media, ask whether the music system integrates with it or sits as a separate silo you'll manage independently. Two disconnected systems mean two logins, two support numbers, and two things that can go wrong without any relationship to each other - it's worth knowing before you've bought both separately and discovered they don't talk.

What does it actually cost, and for how long are you locked in?

Pricing structures vary more than you'd expect: per-site vs per-account billing, monthly vs annual terms, and what's bundled in versus charged as an add-on (hardware, support, licensing itself). Ask for a like-for-like monthly cost per site before comparing providers on price alone, and check the contract term carefully.

Who do you call when it breaks?

Music systems run on physical hardware somewhere in the chain, and hardware can run the risk of having issues at some point. Before you commit, it's worth knowing: is there a dedicated support line, or a ticket queue with no fixed response time? What's the realistic time to fix an issue at one site out of many, rather than the one promised in a sales deck? Reliability isn't something you can properly judge until something's gone wrong, so ask what actually happens when it does, rather than taking "we offer great support" at face value.
