Static vs Digital Signage: What's the Difference, and Which Should You Choose?

Every sign in your venue has one job: get the right message in front of the right person at the right moment. But does a printed poster or a screen do that job better?

For a brand running 20, 100 or 500 sites, it can get pretty complicated. Print runs, delivery, fitting, out-of-date promotions and inconsistent execution all add up across an estate.

Let’s compare static and digital signage side by side, covering cost, flexibility, impact and management, so you can decide what belongs where.

What is static signage?

Static signage is any sign with fixed, printed content. Once it's up, it says the same thing until someone physically replaces it.

Common examples:

  • Posters and window vinyls
  • Printed menu boards and A-boards
  • Shelf-edge labels and point-of-sale (POS) cards
  • Wayfinding, safety and opening-hours signs
  • Fascia and permanent brand signage

Static signage is familiar, cheap per unit and needs no power or connectivity. Its limitation is that every change means a new print, a delivery and someone on site to swap it.

What is digital signage?

Digital signage uses screens to display content that can be changed remotely. Content is usually managed through cloud software, so a head office team can update one screen or every screen in the estate at once.

Common examples:

Digital signage can show video, animation and scheduled content, such as a breakfast menu that switches to lunch at 11:30 automatically. It needs hardware, power, connectivity and a content plan to work well.

Which costs more: static or digital signage?

Static signage might be cheaper to buy initially, but digital signage is often cheaper to run. The right comparison is total cost over time, not the price of one poster versus one screen.

When you cost printed signage across an estate, include:

  • Design and artwork changes for every campaign
  • Print runs, often multiplied by several sizes and formats
  • Distribution to every site
  • Staff time to fit, remove and dispose of old materials
  • Waste from misprints, late deliveries and cancelled promotions

With digital signage, the costs sit mostly upfront (hardware and installation) plus an ongoing software and support fee. After that, each new campaign costs little more than the time to create the content.

The more often you change your messaging, and the more sites you run, the faster digital pays for itself. A brand that changes promotions monthly across 50 sites will see a very different return from a single venue that updates its signs once a year.

When static signage still makes sense.

Printed signage isn't going anywhere, and it shouldn't. It's the right choice when:

  • The message never changes. Toilets, fire exits, opening hours and legal notices don't need a screen.
  • There's no power or connectivity. Outdoor A-boards, car parks and temporary spaces.
  • It's small and close-up. Shelf-edge labels and table talkers often work well in print.
  • The budget is one-off. A single pop-up or short event may not justify hardware.

When digital signage wins.

Digital signage earns its place wherever messages change often or timing matters:

  • Frequent promotions. Launch, update or pull a campaign across every site in minutes, with no reprint if prices change.
  • Menus and dayparting. Switch from breakfast to lunch to evening offers automatically, or push a product that's overstocked today.
  • Live sports and events. Show upcoming fixtures and match-day offers without anyone updating a chalkboard.
  • Brand consistency. Head office controls what's shown, so every venue runs the same campaign at the same time.
  • Local relevance. Tailor content by region, store format or even time of day while keeping central control.
  • High-traffic spaces. Windows, entrances and queues, where motion helps you win attention in a few seconds.

The best answer is sometimes both.

For most multi-site brands, it isn't static or digital, it's putting each one where it works hardest.

A typical split looks like this: keep print for permanent, low-change information, and move anything promotional, time-sensitive or high-visibility onto screens. Start with the spots that cost you the most in reprints, or where attention matters most, such as windows, entrances, bars and menu boards, then expand from there.

How to choose: a quick checklist.

Digital signage is likely worth it if you answer yes to two or more of these:

  • We change promotions or prices monthly or more often
  • We run more than a handful of sites
  • Print and distribution are a noticeable line in our marketing budget
  • Campaigns go live inconsistently across sites
  • We want different content at different times of day
  • We promote live sport, events or seasonal offers
  • We want to measure and adjust what's on screen quickly
